Hotel chatbots: what they can really do

Many picture a hotel chatbot as an automated switchboard answering generic questions. A well-integrated AI concierge covers far more: from pre-sale to in-stay service, around the clock.

An AI concierge doesn't replace staff, it frees them from repetitive requests

The goal of a hotel chatbot is not to remove human contact, but to absorb the volume of repetitive questions — hours, availability, policies, directions — that today take up much of the front desk's time, especially outside opening hours.

Before the stay

A well-designed AI concierge answers questions about availability and services, suggests room upgrades or add-on experiences, explains cancellation terms, and collects special requests (allergies, accessibility needs, arrival times) to pass automatically to staff.

During the stay

Once on site, guests can ask about in-house services, book a table at the restaurant, report a technical issue in their room, or ask for a local recommendation, all in their own language, without going down to the front desk or waiting on hold. Requests that need a physical response are automatically routed to the right department.

After check-out

The chatbot can collect immediate feedback, before an online review is even written, and naturally suggest a future stay or a related experience, keeping a direct channel open with the guest.

PMS integration makes the difference

The difference between a generic chatbot and a concierge that actually works lies in integration with the property's management system (PMS): only by connecting to real booking, availability and guest data can the assistant give accurate answers instead of generic phrases, and take concrete actions such as checking a booking or offering an upgrade that is genuinely available.

A real case

For an independent hotel we built a multilingual concierge active 24/7 in five languages, integrated with the property's PMS, able to handle pre and post-stay requests and automatically route issues to the right staff member. The full case study also covers how it started, with a free pre-analysis.

How it gets started

Here too, our method starts with a working prototype on the property's real data within 4 to 6 weeks, before moving to full PMS integration and production release. Our agent development service covers the whole path.

Frequently asked questions

Q.1Do we need to replace our current PMS?

No. The AI concierge integrates with your existing PMS through its APIs, without requiring a migration of your booking management system.

Q.2What happens if it can't answer a request?

It recognises its own limits and routes the conversation to a staff member, with the request's context already gathered, instead of inventing an answer or making the guest repeat everything.

Q.3Does it work for a small property with few guests per day?

Yes: for a small property, the main benefit is exactly the after-hours coverage, when front-desk staff is limited or absent.
